POSITION SUMMARY:
Metropolitan Cardiology Services is seeking a Payroll & Administrative Support Specialist to join our team at the Mercy Hospital campus in Coon Rapids. This role provides essential payroll, accounting, and administrative support to the Human Resources and Finance departments and works closely with executive leadership to ensure accurate financial processing and efficient daily operations.

Major Areas of Accountability
Payroll Support
- Prepare, review, and process one of two organizational payrolls, ensuring accuracy, timeliness, and compliance with internal policies and applicable regulations.
- Collect, review, and validate payroll‑related data, including timecards, PTO, and leave information.
- Manually enter pay for on‑call employees and roles requiring supplemental compensation.
- Coordinate with Human Resources and Finance to resolve payroll discrepancies and respond to employee payroll inquiries.
- Create and upload 401(k) payroll files.
- Provide payroll assistance and guidance to employees and department leads as needed.
- Maintain strict confidentiality of payroll and employee information.
Administrative & Executive Support
- Reconcile organizational credit card statements.
- Provide administrative support to the Executive Assistant, including scheduling assistance, document preparation, data entry, and general clerical support.
- Assist with meetings, presentation materials, and follow‑up items.
- Support special projects and administrative initiatives as assigned.
Mail & Office Operations
- Manage daily mail operations, including receiving, sorting, and distributing mail to appropriate departments.
- Support general office operations to ensure smooth day‑to‑day functionality.
Employment Selection Criteria
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field or equivalent relevant work experience.
- Minimum of 2 years of experience in payroll and/or financial record keeping.
- Strong attention to detail with the ability to identify, investigate, and resolve discrepancies.
- Excellent customer service and communication skills.
- Ability to manage multiple priorities and meet strict deadlines.
- Proficiency with payroll systems and payroll processes. Strong interpersonal skills and ability to work effectively with employees and leadership.
Preferred Qualifications
- Prior accounting experience.
- Experience using ADP Workforce Now (strongly preferred).
- Experience with QuickBooks or similar accounting software.
