EP & Structural Heart Procedure Scheduler

Location: Remote / Mercy Hospital – Coon Rapids, MN

Reports to: Scheduling Manager

Schedule: Monday – Friday, various shifts between 7:00 AM – 4:30 PM

Job Status: Full-time

Position Summary

The EP & Structural Heart Procedure Scheduler is responsible for coordinating case times for elective, urgent, and emergent electrophysiology and structural heart procedures using a computerized scheduling system. This is primarily a remote position, with occasional on-site presence required at Mercy Hospital as directed by the Scheduling Manager.

Key Responsibilities

  • Coordinate and schedule office visits, imaging, procedures, and with appropriate providers, locations, and equipment.
  • Communicate clearly with patients regarding test preparation, arrival times, and other logistical details.
  • Maintain accurate documentation of scheduled procedures in the EMR and/or email systems.
  • Obtain prior authorizations for imaging and procedures.
  • Manage departmental order work queues and ensure timely follow-up.
  • Collaborate with providers, hospital staff, and patients to align schedules and ensure smooth coordination.
  • Verify completion of necessary authorizations and History & Physical documentation.
  • Uphold patient confidentiality in accordance with HIPAA and organizational policies.
  • Respond to emails promptly and professionally, using Outlook tools to notify nurse clinicians and industry representatives of scheduled procedures.
  • Provide limited instructions to patients and respond to general inquiries.
  • Handle incoming and outgoing calls from providers, staff, patients, and representatives in a timely and courteous manner.

Qualifications

  • High school diploma or GED required.
  • Minimum 2 years of in healthcare scheduling experience with a strong preference for candidates who have worked in surgical or procedural environments.
  • Proficiency in scheduling complex procedures, coordinating with surgical teams, and managing pre-operative requirements.
  • Experience or working knowledge of insurance prior authorization processes, including verification of coverage, submitting requests and following up on approvals or denials.
  • Experience with Excellian (Epic) or similar electronic medical record systems preferred.
  • Exceptional customer service and computer skills, with the ability to communicate effectively with patients, providers and clinical staff.
  • Proven ability to learn quickly, multitask efficiently, and thrive in a fast-paced, high-volume setting.
  • Demonstrated ability to apply critical thinking and sound judgement in problem solving, decision making and prioritizing tasks.
